Administrative Coordinator - Nursing

Position Summary

The Administrative Coordinator is responsible for key administrative responsibilities necessary to efficiently run the office for the Department of Nursing. The position requires strong initiative and the ability to make judgments and decisions coordinating goals and priorities with the Director of Nursing. The position also requires a strong commitment to fulfilling the philosophy and mission of Nursing and TLU University and the ability to work autonomously with flexibly to meet goals in a complex work environment.

The Administrative Coordinator is a key player in maintaining communication between Nursing and other departments at the university, external agencies associated with the Department of Nursing, and with community partners. This position provides coordination and support to the Department of Nursing through coordination of clinical contracts for student clinical placements an other grant budgets and reports.

Principal Duties and Responsibilities

Director and Faculty Support

  • Coordinate time reporting of administrative and staff employees and hourly and student worker.
  • Manage clerical work (reports, minutes, contracts, and related correspondence).
  • Manage processing of invoices and longing of expenses for Department of Nursing accounts.
  • Manage departmental requisitions, including conferences, lab/simulation supplies, etc.
  • Work with third party providers to ensure availability of curricular (ATI) and supplementary services.
  • Assist with planning and logistics of nursing ceremonies and meetings.
  • Coordinate and compile clinical evaluations by faculty, students, and clinical agencies.
  • Coordinate contracts and agreements with clinical agencies on behalf of TLU Nursing.
  • Maintain demographic record of full-time and clinical faculty, staff, and administrators for the department of nursing.

Grant/Development, Accreditation, and Other Related Duties

  • Coordinate the administrative and fiscal activities related to grants for the department.
  • Assist Director and other faculty in developing reports and/or proposals for various accrediting agencies and grants.
  • Keep Director informed of account status, including expenditures and identification of cost-effective alternatives.
  • Coordinate the various accreditation activities and other regulatory activities related to establishing quality, service-oriented environment for the Department of Nursing.
  • Performs other functions as necessary or assigned by the Director of Nursing.

  • Ensure regular attendance and presence in appropriate area to ensure goals of department are met.

  • Work as a team player, supporting and assisting others in the department as appropriate.
  • Coordinate the resolution of department/institutional challenges, supporting and aligning with the goals and priorities of the Director of Nursing and the institution.
  • Ensure team effectiveness through dependability, appropriate communication, and coordination of priorities.
  • Communicate regularly with supervisor.

Customer Relations

  • Maintain appropriate guest relations with welcoming behaviors, treating everyone with courtesy, dignity, and respect in person, via electronic format, and on the phone.
  • Role model appropriate behaviors as a representative of the Department of Nursing and the University.

Qualifications

Experience

Baccalaureate degree in Business, Counseling, or other administrative program; preferred 6 or more hours of graduate work in higher education.

Education

5+ years of experience in an office/higher education setting is required

Knowledge & Skills

Excellent oral and written communication skills.

    Abilities

    • Ability to work autonomously and to work independently to organize and prioritize work.
    • Must be able to maintain confidentiality.
    • Outstanding interpersonal skills, both in person and on the telephone.
    • High proficiency in personal computer systems to include word­ processing and data base management.
    • Expertise in current Microsoft Office or similar programs.
    • Ability to analyze facts and individual circumstances to determine appropriate action to be taken within the limits of established policies and procedures.
    • Knowledge of general office practices and procedures.
    • Ability to maintain an accurate filing system and records.
    • Ability to work effectively with all departments and employees of the university as well as external constituents.
    • A strong commitment to quality and be service-oriented.
    • A strong understanding of and appreciation for church-related higher education.

    Physical Demands

    Work is primarily sedentary and requires normal concentration; manual dexterity is needed to perform routine word processing tasks.

    Working Conditions

    Work is performed indoors in a typical office setting.

    Organizational Data

    This is an Exempt position. Employees in this position are paid a salary on a monthly basis and are not eligible to receive overtime pay. This position does coordinate other hourly staff and student workers.
