Associate Director of Alumni Relations

Position Information

This position will assist with and fully coordinate a variety of activities to engage TLU alumni, current students, and their parents and families through in-person and virtual events, social media, and alumni programs.

Job Responsibilities

  • Assists Director of Alumni Relations with coordination of specifically assigned homecoming, fundraising, and alumni events including volunteer management.
  • Coordinate Annual Ring Ceremony and Ring Ceremony Committee.
  • Build and manage online event registration, if applicable, for all Alumni Association and Parent and Family Association events.
  • Assists the Director of Alumni Relations in building, developing, and maintaining programming and events to support the Bulldog Mentor Program.
  • Assists the Director of Alumni Relations in building, developing, and maintaining programming and events to support the TLU Parent and Family Association.
  • Maintains database for tracking events and attendance records.
  • Works with the Director of Corporate and Foundation Relations and Career Development on a networking event for TLU alumni and current students.
  • Assist the Director of Alumni Relations with exclusive Presidential events.
  • When needed, assist the Director of Alumni Relations with social media accounts and other marketing needs.
  • Manage the TLU Legacy Program, In Memoriam, and class notes, with the assistance of student employee(s) when available.
  • Develops and distributes pre-event information to the advancement officers, vice president, and event volunteer organizers that includes a list of anticipated participants, an overview of program details, and any special details as requested by the Director of Alumni Relations.
  • Develop and maintain resources for the TLU Alumni Association. This may include but is not limited to; mini diplomas, alumni contact requests, and alumni small business directory.
  • Research, design, purchase, and manage inventory of TLU-branded giveaway items utilized by Development staff.
  • Manage Alumni Relations Revenue budget and prepare budget enhancement recommendations. This includes but is not limited to; invoice requests, creating purchase orders, submitting payments, item receival, and inventory tracking.
  • Support the Director of Alumni Relations by collecting credit card receipts, preparing credit card statements, and reconciling credit card payments.

  • Demonstrates good leadership and teamwork skills in all aspects of planning with volunteers, alumni and benefactors, departmental colleagues, and the university-wide community.

Qualifications

Education
Bachelor’s degree from an accredited college or university is required.

Experience
One year of full-time event management experience
Event/Program budget management experience

Knowledge, Skills & Abilities

  • Strong skills in organization, human relations, and communication
  • Support a diverse group of university/community constituents
  • Strong Microsoft 356 skills required.
  • Ability to manage multiple projects at the same time.
  • Ability to effectively work with and manage others.
  • Must be able to maintain a high level of confidentiality.
  • Must support the mission and strategic plan of Texas Lutheran University

Physical Demands

Must be able to sit or stand for long periods of time. Must be able to lift up to 20 pounds.

Working Conditions

Work is often performed indoors in an office setting. Work is also performed in various event settings which will vary between indoor and outdoor locations. Occasional travel is required. Occasional night and weekend work is required.

Organizational Data

This position does not supervise regular staff but will manage volunteers and student workers.
